ScheduALL Tips & Tricks: Sweeper Feature

Rather than constantly searching for work orders that you need to monitor or process, there is a feature that can pop up an alert for new work orders or certain work orders that have just changed status levels. You’ve got more important things to work on, let ScheduALL handle this. We often refer to this as the “Sweeper” Feature.

Here’s a practical example: Throughout her day, a producer named Miriam needs to okay some of work orders completed by Post Production. To save time, ScheduALL can be set to pop up a specialized browser on Miriam’s desktop every few minutes. In our case, the browser will list the work orders that someone has changed to the status MIRIAM to APPROVE.

Miriam can now zoom into a listed work order, do her review, and perhaps reset the status level to RECONCILED. The work order is now available for the next billing cycle (or another approval level).

Here’s what you need to set this up:

From the Scheduling calendar, select the Scheduling Menu and locate “Find Work Order by Status (with Reminder)”. A window will open that will ask you to specify the number of hours or days (past or future) to search.

You can also specify the Resource Group that encompasses your alert items.

The Filters tab allows you to determine the specific status on which you want to be alerted. This feature, tied with the additional Auxiliary Statuses, allows you to be alerted immediately when a job changes status during the work flow process.

In order to get this reminder to pop up on your screen, you will need access to the User Preferences-General in order to determine the interval of alerts. These intervals can be set between 1 minute and 4 hours, and the default interval is.

The Sweeper Feature is a great tool for people that need to work on jobs scheduled in the future, as well as for individuals that may have to audit jobs that have just completed, in order to verify time and cost.
